This Website Security & Maintenance Plan Service Agreement outlines the terms and conditions for the Spirit Graphics website security and maintenance plan. This agreement defines the scope of services, the responsibilities of both parties, and any additional terms related to the maintenance and security updates of the client’s website. The plan covers one WordPress website only.

What is included:

Keeping your website operational & secure

The following are tasks we performed monthly to keep your website operational and secure.

  • WordPress Updates: Regular updates for the WordPress core, themes, software, and plugins to ensure optimal performance and security.

  • Security Updates: Ongoing monitoring and implementation of security patches and updates for plugins, extensions, and other website components.

  • Plugin & Extension Security: Download & Install available updates and patches for plugins and extensions to prevent vulnerabilities and breaches.

  • CMS Troubleshooting: Assistance and troubleshooting for website content management system (CMS) issues, ensuring smooth site operation.

Keeping your website’s content up to date.

The following are tasks we perform on request to keep your website’s content up to date.

Text Based Elements
  • We will replace, add or remove text based elements such as body text, page titles, SEO meta descriptions, contact information, menu labels when you supply us with live editable text via email or direct cloud storage access such as dropbox, google drive or one drive.

Visual Elements
  • We will replace, add or remove visual elements such as photos, backgrounds, logos, icons, favicons when you supply us with “labeled, website ready image files” via email or direct cloud storage access such as dropbox, google drive or one drive.
Layout Elements
  • We can perform minor layout adjustments to columns and containers including width changes and re-ordering or columns.
Section Elements
  • We can rearrange the order of entire sections within pages

Form Elements
  • We will replace, add or remove form elements for existing quote, contact forms and can update contact details such as email addresses and recipients.

What is not included

Requests which are not included in the agreement, but we can quote on as a new scope of work.

  • New Pages or Posts: New pages require extensive time to create layouts, update site wide menus, SEO meta and are not included in this service agreement.

  • New Sections: New Sections require extensive time to create column and element structure which works on both desktop and mobile, for this reason we quote on new additions separately.

  • Header & Footer Redesigns: Header elements often contain logo image elements, menu elements and text elements and are often fine tuned for mobile and desktop optimising, we are happy to provide you with this, but will quote separately on your individual needs.

  • Design Work: Any significant design changes or additions beyond the scope of minor text and image adjustments are not covered under this agreement.
  • Content Creation: The creation of new content such as articles, blog posts, or graphics is not included.
  • File Extractions: Images embedded in other file types such as jpgs, pngs embedded into Word or PDF Documents require additional time to extract and prepare a usable file that can be used for a website. 

  • Text Translations: Tasks that require re-typing written copy or scanning of printed, handwritten or uneditable text are not included in this service agreement.
  • Research: Tasks that require time to search, analyse or compare information from external sources or supplied resources.

  • E-commerce Management: Management of e-commerce platforms including WooCommerce, such as product management, creation or deleting. Product Category management, creation or deletion, pricing changes, inventory management.
  • Video Editing: Video Editing, Video Uploading, YouTube account creation, video asset creation and videography and not included.
  • Restorative work due to accidental or malicious damage to the UI/design or functionality of your website caused by you or a third party. We can quote to fix issues, but this is not covered by our maintenance agreement.

Services we are unable to provide

These include requests we sometimes receive but are outside our area of expertise and are not part of our core marketing service offerings. Please note this list is not exhaustive.

  • Business Planning, Management & Operations: Our expertise lies in creating and supporting marketing solutions that assist in reaching your business goals, however, we are unable to manage the day-to-day operations of your business which may include business integrations and staff management.

  • Management of your third party services: Most businesses utilise a range of software services such as accounting, payment processing providers, CRM’s and more. For security and privacy reasons, we can not access, manage your third party accounts and retrieve, migrate, or enter data.

  • Client’s Customer Service: We are unable to contact your clients directly via email or phone to discuss matters relating to your business.

  • Warehousing or Product Fulfilment: Any tasks requiring the processing, packing, reporting, quality control on products or services which you are selling/providing.

  • WordPress Plugin Development: We do not develop custom WordPress plugins or modify existing third party plugins.

Additional Terms:

Important items to keep in mind.

  • Quote for Extra Work: Any design or development work requested by the client outside the scope of this agreement will be subject to a separate quote. This includes by its not limited to translation of text documents or image file preparation for non-website ready image files.
  • Communication: The client agrees to communicate requests with clear listed instructions via email. Each request should include the page URL, section, element to be modified and what you would like completed.

  • Service Fees: The client agrees to pay the monthly service fee as outlined in the agreement. Payment is due at the beginning of each billing cycle.

  • Termination: Either party may terminate this agreement with a 30-day written notice. Spirit Graphics reserves the right to terminate immediately due to violations of the agreement or unethical behavior.


What to do if you would like to cancel the agreement

Either party may terminate this agreement for any reason with a 30-day written notice.


Can I get a refund?

Spirit Graphics provides a refund policy for our valued customers who have subscribed to our Website Security & Maintenance Plan.

We understand that circumstances may change, and you may find it necessary to terminate your subscription before the completion of the plan’s agreed duration. In such cases, we offer a pro rata refund that ensures you are reimbursed for the unused portion of the plan.

Billing Cycle

How often is payment required?

Service Fees: The client agrees to pay the monthly service fee as outlined in the agreement. Payment is due at the beginning of each billing cycle. This can be paid monthly by subscription or 12 months annually by EFT.


Payment Methods

Monthly Subscription: We accept credit or debit card payments via stripe monthly subscription.

Yearly Payment: We accept credit or debit card payments EFT bank transfer.

Failed payments

Monthly Card Payment –  Failed attempts due to insufficient funds will automatically retry several times to collect payment, if after 4 failed attempts your service agreement may be suspended.
